Important Information about your Exhibitor Experience

Dear OCHCH Conference Exhibitor,
Thank you for your support as an exhibitor! This page contains key event details and updates. Please read it carefully. For convenience, bookmark this page or ensure you retain the email that led you here.
- Your exhibit space includes a 6’ table, black/floor length linen, and 2 chairs. If you would prefer to have a smaller table, like a cocktail table, we can accommodate that.
- Please remember that the booth is not a traditional convention center setup that you may be used to. We recommend supplying your space only with what can fit on and behind your table, such as pop-up banners, table covers, etc., but leave the bigger exhibit booth components behind. If you wish to bring something that is likely bigger than the allocated space, you must reach out to us so we can clear it with the hotel. Accommodating such requests will depend on table location, hallway specs, access doors, fire code, etc.
- Power strips will be provided at each table.
- Exhibitor profiles will be published on our website and in the conference booklet. The information in these profiles was provided to us in your exhibitor form or by follow-up email to us. If anything needs edited, notify us immediately.
Exhibit Hours
Exhibit spaces are open for the entire length of the Spring Financial Conference. There are no “open” or “closed” times during the two-day event.
Consult the agenda for details on the timing of breaks, trade show networking time blocks during which there are no education sessions occurring, receptions, etc.
We encourage you to maintain your booth until the end of the day and speak with anyone that remains after the session. If you plan to pack up your booth before the end of the conference, please wait until the final session has begun. If packing creates any tripping hazards or significant noise, please wait until after the conference has concluded.
Attending the Conference
Your exhibit package includes two (2) conference passes. If you need to add/edit/swap attendees, contact Drew Cook, Communications Director at OCHCH, drew@ochch.org within one week ahead of the conference. Last minute changes are possible but be advise you may not have a formal (pre-printed) name badge or other collateral.
Registration rates will apply to anyone additional beyond the two registrations included in your package.
Exhibitors are welcome to attend breakout sessions and keynote presentations. We ask that you notify us in advance of any sessions you would like to attend so we can manage room capacities. During the conference, if a session has begun and there are seats available, you are welcome to attend in the moment.
WIFI at the Conference
The venue provides a strong WIFI signal to all attendees. Credentials will be provided when available.
Parking
There is a 500-space free parking garage next to the hotel and event space.
Booth Setup
The venue will be ready for exhibitor set-up on Tuesday March 24. A specific time for set up will be provided once it is communicated by the venue.
Shipping & Handling of Boxes / Packages
The shipping, receiving, and load out process is entirely under the venue’s control. Please reach out to the venue contact provided below with any questions. All materials must be scheduled to arrive at the hotel no earlier than three days prior to exhibit date.

Shipping from the Conference
- Packages must be ready to ship and have a paid return shipping label on them, including your shipping account information.
- Packages must be brought to the front desk for carrier pickup. Do not leave them at your table or elsewhere in the hotel.
- You are responsible for scheduling a pickup by your selected shipping service.
Loading In / Loading Out
- Standard packaging and equipment can be brought in or out of the conference area through the front entrance of the building.
- The Spring Financial Conference is on the first floor of the event center. The mezzanine space overlooks the center area of the first floor and is accessible only by stairs.

RSVP Lists, Pre- and Post-Conference Plans
We appreciate that many exhibitors have an interest in connecting with attendees prior to the event to drive booth traffic. We have facilitated this at past conferences by providing rsvp lists with email addresses, however, guest feedback has been consistent in that receiving significant email traffic from exhibitors before attending the conference was undesirable. The following is our pre- and post-conference plan to balance everyone’s interests.
- In compliance with email-sharing rules, all attendees (including exhibitors, sponsors, speakers, etc.) will have an opt-in or opt-out choice on their registration form. If anyone selects opt-out, their email will not be included in the final list. This in no way limits you connecting with them directly during the event and only applies to the list OCHCH shares with conference partners.
- Attendees will receive multiple reminders to check out exhibitor profiles ahead of the event.
- If you have any special activities, raffle items, or other items of interest that you would like promoted ahead of the event please share them with our team to include in promotions.
- OCHCH will provide an rsvp list to exhibitors & sponsors with attendee name, title, and organization around 10 days prior to the event (no email in this pre-event list).
- A list of attendees with opt-in email addresses will be provided to exhibitors & sponsors shortly after the event once we process any walkups, no-shows, etc., which is typically within two business days.
Booth Raffles
If you are holding a raffle for attendees, and this is not mandatory at all, please let us know the item(s) you are planning to give away so we can help promote it in communications with attendees.
How do we manage the raffle giveaways?
- All exhibitors will run their own raffles at their booth. Keep your prizes at your booth. The only centralized aspect of the raffle is the time when winners are announced. How you collect names, the number of prizes, what type of prizes, value, etc. is entirely at your discretion.
- Raffle winners are drawn at the end of lunch on day 2. Please be ready by that time.
- An OCHCH staff member will be on stage to call exhibitors up in turns based on how everyone is lined up (no pre-arranged order).
- Participating exhibitors will have a moment to address the audience.
- This is a be-present-to-win scenario – if the person is not present when their name is called, we’ll pull another name until we have a winner.
- The winner typically comes to the stage to collect the item. If you want a photo, please have an associate with you to snap the pic.
Treats & Goodies
Exhibitors can provide items at your tables to promote your business, but the venue requests that they be packaged and non-perishable. If you would like to order from the hotel’s catering, you will need your own contract. If you decide to go this route, OCHCH will make the connection to the catering department.
Hotel Accommodations
As the event draws closer, we will set up favorable room rates at our venue and several nearby hotels. Availability subject to change.
